About the Role

This role is about people, not paperwork.

We just said goodbye to our old front-desk setup, and we're rebuilding it around the right person rather than a generic job description. This is our Patient Coordinator role — the first face and voice patients meet, and the person who keeps the whole day running.

You don't need medspa experience. What you do need is presence — the kind of person who remembers names, notices when someone's had a rough week, and keeps a room feeling calm even when the schedule is full. If you've worked retail, hospitality, or spent years managing a household and a calendar full of moving pieces, you already have the skills this job runs on.

We're a small, close team, and we treat this role as central to who we are — not an entry-level afterthought. You'll be trained, paid to train, and given real ownership over the patient experience from the moment someone walks in to the moment they leave.

"I don't need someone who's done this exact job before. I need someone who makes people feel like they matter the second they walk through our door. That's a personality, not a resume line."

— Natasha Sherrill, FNP-C · Founder, New Age Medspa

What You'll Do

A Day in This Role

  • Greet every patient warmly, by name, the moment they arrive
  • Manage calls, texts, emails, voicemails, and social messages throughout the day
  • Schedule, confirm, rebook, and fill cancellations to keep the calendar full and the day flowing
  • Check patients in, notify the team of arrivals, and offer a beverage while they wait
  • Talk comfortably and conversationally with patients about current specials, memberships, and product recommendations
  • Check and apply Alle/Aspire rewards for patients at checkout
  • Handle checkout, payment, and follow-up scheduling with confidence and privacy
  • Keep the lobby, front desk, beverage station, retail displays, and bathroom supplies looking their best
  • Send every patient off remembering exactly why they chose us

What We're Looking For

Who Thrives Here

  • An outgoing, genuinely warm personality — this is a people-first role above anything else
  • Comfortable multitasking: a ringing phone, a walk-in patient, and a checkout in progress, all at once
  • Retail, hospitality, or customer-service background preferred — no medspa experience required
  • Organized and detail-oriented, with a knack for noticing what needs fixing before anyone has to ask
  • Comfortable with technology and scheduling systems, or a fast learner who is
  • Reliable, professional, and protective of patient privacy
  • Open to flexible scheduling — including if you need to be out the door in time for school pickup
Coming back to work? Coming from retail? If you've spent time away from the workforce, or you're coming from a retail or service background and looking for something with more depth and stability, this role was built with you in mind. Natasha is specifically looking for someone with real-world people skills — not a certain resume.

Questions

Common Questions About This Role

Do I need medspa or medical experience to apply?+
No. We are looking for personality and people skills first — medspa knowledge is something we teach. If you've worked in retail, hospitality, customer service, or you're returning to work after time away, you likely already have the instincts this role needs.
What does compensation actually look like?+
Pay starts in the mid-$20s per hour. On top of that, you'll earn commission on products and services sold — the same commission structure our entire team participates in. We talk through exact numbers honestly during the interview.
Is this full-time or part-time?+
Both are open. We'll build a schedule that works for the right person, whether that's full-time coverage or part-time hours around other commitments. Full-time team members receive full benefits; part-time team members receive partial benefits.
What are the clinic hours?+
Our hours shift seasonally. During the summer, we're open Tuesday through Saturday from 12pm to 5pm. We'll walk through the current schedule and what your shifts would look like during your interview.
I need flexibility for my kids' schedule — is that workable?+
Yes. We know good people have lives outside of work, and we'd rather build a schedule around a great team member than lose them over rigid hours. Bring your scheduling needs to the conversation — we'll work through it together.
What is the practice culture like?+
We're a small, close-knit team that genuinely cares about our patients and each other. We don't operate on pressure or volume — every recommendation comes from what's actually right for the patient. You can meet the rest of the team on our about page.
How do I apply?+
