Patient Coordinator

We're looking for the person who makes New Age Medspa feel like New Age Medspa — someone with energy, warmth, and the instincts to know exactly what every patient in the room needs next.
This role is about people, not paperwork.
We just said goodbye to our old front-desk setup, and we're rebuilding it around the right person rather than a generic job description. This is our Patient Coordinator role — the first face and voice patients meet, and the person who keeps the whole day running.
You don't need medspa experience. What you do need is presence — the kind of person who remembers names, notices when someone's had a rough week, and keeps a room feeling calm even when the schedule is full. If you've worked retail, hospitality, or spent years managing a household and a calendar full of moving pieces, you already have the skills this job runs on.
We're a small, close team, and we treat this role as central to who we are — not an entry-level afterthought. You'll be trained, paid to train, and given real ownership over the patient experience from the moment someone walks in to the moment they leave.

A Day in This Role
- Greet every patient warmly, by name, the moment they arrive
- Manage calls, texts, emails, voicemails, and social messages throughout the day
- Schedule, confirm, rebook, and fill cancellations to keep the calendar full and the day flowing
- Check patients in, notify the team of arrivals, and offer a beverage while they wait
- Talk comfortably and conversationally with patients about current specials, memberships, and product recommendations
- Check and apply Alle/Aspire rewards for patients at checkout
- Handle checkout, payment, and follow-up scheduling with confidence and privacy
- Keep the lobby, front desk, beverage station, retail displays, and bathroom supplies looking their best
- Send every patient off remembering exactly why they chose us
Who Thrives Here

- Comfortable multitasking: a ringing phone, a walk-in patient, and a checkout in progress, all at once
- Retail, hospitality, or customer-service background preferred — no medspa experience required
- Organized and detail-oriented, with a knack for noticing what needs fixing before anyone has to ask
- Comfortable with technology and scheduling systems, or a fast learner who is
- Reliable, professional, and protective of patient privacy
- Open to flexible scheduling — including if you need to be out the door in time for school pickup
What You'll Get
Hourly Pay + Commission
Starting in the mid-$20s per hour, plus commission on the products and services you help patients choose — the whole team shares in this.
Paid Training
You'll be trained on our systems, our treatments, and our patients from day one — and you'll be paid while you learn.
